A welcome message is the first thing a new member sees from your community. Buddy posts it in your welcome channel the moment someone joins, filled in with their name, your member count and anything else you like. You build it in a step-by-step editor with a live Discord-style preview, so you know exactly what people will see before you save.

Before you start#

Permissions needed

In the welcome channel, Buddy needs View Channel and Send Messages.

  • The Embed style also needs Embed Links.
  • A Components layout that shows your Welcome Image card also needs Attach Files.
  • Role buttons and role menus need Manage Roles, and Buddy's own role must sit above every role they hand out.
  • An Open a support ticket button uses the ticket system, so Buddy needs Manage Channels to create the ticket.

Create the channel first. Most servers use #welcome and keep it read-only for members, so the greetings don't get buried. If you want to point people at your rules, have a rules channel ready too.

Channel or role missing from a list?

The dashboard lists the channels and roles Buddy last synced from Discord. If you just created one, run /setup in Discord, choose Update Channels and Roles for Website, then reload the page.

Set it up#

Open Welcome messages in your dashboard

It's under Welcome & onboarding in the sidebar.

Pick the welcome channel

In Where to welcome members, choose your Welcome channel. Optionally pick a Rules channel so the {rules} placeholder can link to it. Click Save welcome settings.

Choose a message style

In the Welcome message card, under Choose a message style, pick Regular, Embed or Components (see Message styles below).

Start from a sample (optional)

Pick one in Start from a sample and click Use this sample. It replaces what's in the editor, but nothing is saved yet.

Write your message

Type in the Welcome message box (Regular and Embed), or add blocks under Build your layout (Components). Use the Insert tools above it to add text styles, placeholders, role mentions and channel links where your cursor is.

Add greetings (optional)

In Greetings, list a few opening lines, one per line, and put {greeting} in your message. Each new member gets one at random.

Choose extra options

Set Auto delete and Who gets notified in Extra options.

Check and save

Look at the Preview on the right, fix anything listed under Before you save, then click Save message template.

Open welcome settings

Two save buttons

The channel and role settings at the top save with Save welcome settings. The message itself saves with Save message template at the bottom. Changing one doesn't save the other.

Settings explained#

Where to welcome members#

SettingWhat it doesDefault
Welcome channelWhere the welcome message is posted. Leave it on Disabled to turn welcome messages off.Disabled
Rules channelThe channel the {rules} placeholder links to.None

The Roles for new members card on the same page is covered in Join roles.

Message styles#

StyleWhat members seeLength limit
RegularPlain chat text. Quick and simple.2,000 characters
EmbedYour text in a colored box, with the member's avatar on the right and the time at the bottom. The color is your server's embed color from Bot settings.4,096 characters
ComponentsDiscord's newer message layout: cards with text, thumbnails, dividers, image galleries, buttons and role menus.40 components and 4,000 text characters per message

Placeholders get longer when they're filled in (a long server name, a 32-character username), so leave some room under the limit. The counter under the text box shows how much you've used.

Welcome message options#

SettingWhat it doesDefault
Start from a sampleLoads a ready-made message or layout into the editor. Regular and Embed have 4 samples, Components has 7 (8 with Premium).—
Insert toolsButtons that add text styles (bold, italic, underline, strike, spoiler, code, link, headings, small text, quote, list), placeholders, role mentions and channel links at your cursor. Hover a placeholder to see what it becomes.—
GreetingsUp to 50 opening lines, one per line. {greeting} is replaced by one of them at random for each new member. Greetings can use other placeholders, like {displayname}.5 starter lines
Auto deleteDeletes the welcome message after 1, 5 or 10 minutes. Handy for busy welcome channels.Keep the message
Preview asType a name to see how the message looks for a member with that name. The shuffle button shows another greeting.NewMember

Who gets notified#

SettingWhat it doesDefault
Ping the new member when the message is postedAdds an @mention of the new member so they get a notification, even if your message doesn't use {user}. For the Embed style the mention goes just above the embed, because mentions inside an embed never notify. If your message already mentions them, no extra mention is added.Off
The new memberWhether a {user} mention notifies them. Locked on while the ping above is on.On
Mentioned rolesWhether {role:ID} mentions notify that role.On
@everyone / @hereWhether {everyone} (or a typed @everyone/@here) notifies everyone.On

Unticked mentions still show in the message. They just don't send anyone a notification.

Before you save#

The checklist under the preview catches problems before they reach Discord. Click an item to jump to it. It warns you when:

  • the message is empty, or over Discord's character limit;
  • a Components layout has no blocks, a card is empty, or a text block has no text;
  • a button has no label or emoji, a link doesn't start with https://, or a channel jump, role button or private reply isn't filled in;
  • a role menu option has no label or no role;
  • an emoji isn't a single emoji or a custom one like <:name:id>;
  • an image link doesn't start with https://;
  • the layout goes over 40 components or 4,000 text characters.

Components blocks#

A Components message is a stack of blocks shown top to bottom, exactly like the preview. Put blocks inside a Card to get the colored box, or leave them outside to show above, between or below cards. Each block has buttons to fold it away, move it up or down, move it into the card above (or out of its card), duplicate it and remove it.

Card#

A colored box that groups blocks together. Add blocks inside it with the buttons at the bottom of the card.

OptionWhat it does
ColorThe card's edge color. Tick Use server embed color to use the color from Bot settings.
Spoiler (whole card blurred until clicked)Hides the whole card behind a spoiler.

Cards can't go inside other cards.

Text / Section#

Text with styles like headings and bold. Add up to 3 text boxes with Add text box.

OptionWhat it does
Show on the rightNothing, a Thumbnail image, or a Button. A side item turns the block into a Section: 1–3 text boxes with one item on the right.

Divider / Spacer#

A line, or just empty space, between blocks. Untick Show divider line for empty space, and choose Small spacing or Large spacing.

Button Row#

Up to 5 buttons side by side. Each button has a Label (up to 80 characters), an optional Emoji, a Color (Blurple, Grey, Green or Red) and a Disabled option that shows it greyed out. When clicked sets what it does:

When clickedWhat happens
Open a website linkOpens your Link URL (must start with https:// or http://). Link buttons are always grey.
Jump to a channelTakes the member to the channel you pick. Always grey, like a link.
Give / remove a roleClicking adds the role, clicking again removes it. Buddy replies privately to say what changed.
Send a private replyShows your text only to the person who clicked. Placeholders work here and describe the person who clicked.
Open a support ticketOpens the ticket system's Create Ticket form for the member who clicks.

Role Menu#

A dropdown where members pick roles for themselves. Picking a role they already have removes it, and the menu resets after each pick so it can be used again.

OptionWhat it does
PlaceholderThe grey text shown before anything is picked (up to 150 characters).
Min picks / Max picksHow many roles a member can pick at once.
OptionsUp to 25. Each has a Label (up to 100 characters), an optional Emoji and Description, and the Role it toggles.

Shows 1 to 10 images in a grid. Each image can be Image from a URL (PNG, JPG, GIF or WEBP), the New member's avatar, the Server icon, the Server banner, or (Premium) your Welcome Image card. Each has optional Alt text and a Spoiler option. The same image choices work for a Section thumbnail. A server icon or banner your server doesn't have is just left out.

Welcome Image File (Premium)#

Attaches your Welcome Image card as a file (welcome-card.png) members can download.

What counts toward the 40 components

Each card, text box, divider, gallery and file counts as 1. A side thumbnail or button adds 2. A button row counts 1 plus 1 per button, and a role menu counts 2. The extra ping line from Ping the new member counts 1. The counter under Add a block keeps track for you.

Role buttons and menus can't hand out staff roles

Anyone can click a welcome button, so Buddy refuses roles with Administrator, Manage Server or Manage Roles, roles managed by a bot or integration, and @everyone. Saving shows an error if you pick one.

Placeholders#

Use these anywhere in the message, greetings, button labels, private replies, menu text and image URLs. Words in {curly brackets} are swapped for the new member's details when they join.

When someone clicks Need Help?, only they see the reply:

Need a hand, {username}? Ask in any help channel or mention a staff member and we'll get you sorted.

Role picker (Components)#

The Role picker sample adds a Role Menu with your first three roles. A good setup for interest roles:

Option labelEmojiDescriptionRole
Gamer🎮Game nights and LFG pings@Gamer
Artist🎨Share your art@Artist
Events📅Get pinged for events@Events

Set Max picks to 3 so members can take all three at once. Picking a role again removes it.

Premium#

With Premium you can show your Welcome Image card inside a Components message: pick Welcome Image card (premium) as an image source in a gallery or thumbnail, add a Welcome Image File block, or load the Welcome Image card inside a card (premium) sample. Buddy draws the card for each new member and attaches it to the message. Everything else on this page is free. See Premium.

Troubleshooting#

When a welcome message can't be posted the way you built it, Buddy writes the reason to the Bot errors list (the error log) on your dashboard's main Dashboard page. Check there first.

Nothing is posted when someone joins#

  • Make sure a Welcome channel is selected and you clicked Save welcome settings.
  • Check Bot errors for Channel not found: the channel was deleted or Buddy can't see it. Pick another channel.
  • Missing Permissions: View Channel, Send Messages (and Embed Links for the Embed style): give Buddy's role those permissions in the welcome channel, including any channel overrides.
  • Bots that join never get a welcome message. Test with a real account.
  • If you use a custom bot, it posts the welcome message instead of Buddy, so check its permissions too.

The member got "Welcome @member to Server!" instead of my message#

That's the fallback, so new members are still greeted when your message can't be sent:

  • The saved message was blank. Write a message and click Save message template.
  • The Components layout couldn't be sent. Bot errors shows Unable to send welcome message with Discord's reason (for example an image link Discord couldn't load). If Buddy lacks Attach Files in the welcome channel, Bot errors shows Missing Permissions: Attach Files and the Components message is sent without the Welcome Image card. Fix it and save again.
  • Welcome layout is empty: every block came out empty for that member (for example a text box that only contained {rules} with no rules channel set).
  • Welcome layout could not be read: re-save the message on the Welcome page.

If you had text saved in the Regular message box before switching to Components, the fallback uses that text instead of the default line.

Button or menu emojis are missing#

Emoji rejected by Discord in Bot errors means Discord refused an emoji, usually a custom emoji from a server Buddy isn't in. Buddy posts the message without button and menu emojis rather than not at all. Use a standard emoji or a custom emoji from your own server.

New members don't get a notification#

  • Turn on Ping the new member when the message is posted. Mentions inside an embed never notify.
  • Check The new member is ticked under Who gets notified if you use {user}.

A role button or menu says it can't give the role#

  • Buddy needs Manage Roles, and its role must be above the role in Server Settings → Roles.
  • The role may have been deleted. Pick it again and save.
  • Roles with Administrator, Manage Server or Manage Roles can't be given out this way.

Saving shows an error#

The message names the block that needs fixing, like "Card 1, Block 2: a text block needs 1 to 3 text boxes with something in them". The Before you save list catches most of these first. A role error that mentions /setup means the role isn't synced yet: run /setup → Update Channels and Roles for Website in Discord and try again.

{rules} shows nothing#

Pick a Rules channel in Where to welcome members and click Save welcome settings.
